In short: A QuickBooks team can assess an invoice-enquiry workflow that prepares a draft response and flags questions for the bookkeeper. Online access requires OAuth 2 authorisation for the right company; Desktop uses a different SDK/Web Connector path. Neither authorises EBROTECH automatically, and AI does not approve invoices, payments or filings.
How does AI connect with QuickBooks?

QuickBooks Online uses Intuit OAuth 2 authorisation for an app and a specific company (realm ID). QuickBooks Desktop is a separate product using its SDK and, for appropriate web integrations, the Web Connector installed for the edition. We verify which product the customer uses and test allowed access before proposing a connected workflow.

Confirm Online versus Desktop before discussing a connection. Online authorisation is company-specific; Desktop may require an office-side Web Connector and supported edition. Both need least-privilege testing.

When NOT to connect with QuickBooks?
If the task is bookkeeping, tax advice, a payment or approval rather than an administrative enquiry, keep the decision with the qualified team. An Online API proposal is not an integration plan for QuickBooks Desktop.
Frequently asked questions about QuickBooks
We use QuickBooks Desktop. Is the Online API the route?
No. QuickBooks Desktop has its own SDK and Web Connector route, with edition and installation requirements. We identify the exact product before assessing any data flow.
Can the assistant chase or approve unpaid invoices?
It may prepare a draft after an authorised check, but a person verifies the account, chooses the action and sends any email. It cannot approve payments, tax advice or filings.
Do I have to move off QuickBooks?
A move is not assumed. The written scope states whether QuickBooks remains the system of record, which minimum data is used and which steps remain manual. If the connection is not validated, it is not presented as integrated.
What can AI do with QuickBooks?
It can support customer, document and invoice enquiries within the tested workflow. Automation supports administrative work and prepares drafts; it does not provide tax or accounting advice or approve invoices, payments or filings. Emails remain drafts for a person to review and click Send.
What will my team receive?
At the end of the pilot, your team receives the agreed QuickBooks workflow, access and review instructions, the tests performed, a record of known exceptions and the named person responsible for maintenance. Acceptance is checked against the written scope, and delivery is limited to the capabilities validated in that pilot.
